How to win a Shopify chargeback

Shopify pre-fills your response from the order. The part that wins is what you add.

When a customer disputes a Shopify Payments order, Shopify pulls the amount from your next payout and flags the order in your admin with a deadline, usually between 7 and 21 days out. The order cannot be refunded while the chargeback is open, so arguing the case is the only way to recover the sale.

Shopify makes a start for you. The response page arrives pre-filled from the order record, with the customer's name, the billing and shipping addresses, the items and any fulfilment and tracking data the store holds. Many merchants read that summary, decide it looks complete, and submit. The bank then receives the same order data that every other Shopify store sends, which proves the order existed and little else.

What wins is the argument that matches the reason on the dispute. A claim that the parcel never arrived is answered by delivery to the address the customer entered, ideally with a carrier scan at the door rather than a label printed in the warehouse. A claim that the goods were not as described is answered by the product page as it read on the day of purchase and by any message in which the customer raised no complaint. A fraud claim is answered by showing the same customer bought before without disputing, from the same device or address, and is often the hardest of the three to win without that history.

The free-text section of the response is where those points are made. A bank analyst reading the case wants a short account of what happened and a pointer to the record that answers the claim, and a rebuttal letter written to the specific reason code gives them exactly that. Attached as a PDF beside Shopify's order summary, it turns a pile of documents into a case someone can decide in a few minutes.

Timing matters as much as content. Gather the delivery proof and customer messages as soon as the chargeback appears, because carrier tracking pages and chat histories can expire before the deadline does, and a response submitted on the last day leaves no room to fix a missing file.
