A refund without return is usually cheaper than a dispute on small orders. On Stripe's US fees and its win-likelihood bands, contesting only pays above about $35 at the best band, $105 at the three-dot band and $585 at the lowest, unless the merchant's evidence is unusually strong.
What does a dispute cost on Stripe?
A dispute costs a Stripe merchant in the US at least $15, whatever happens next. That dispute received fee is never returned. A merchant who contests pays a second $15 countered fee, returned only on a win.
Accepting the dispute does not avoid the first fee. Networks count disputes received, not disputes won, so every dispute adds to the merchant's dispute ratio regardless of outcome. Shopify's US fee is also $15, and Shopify states it is returned on a win.
How do you work out the break-even?
The break-even depends on how likely you are to win. Stripe ranks that likelihood once evidence is submitted, from 60% for five dots down to 40%, 25%, 15% and 5% for one dot. Stripe adds that even in the most favourable cases it is very difficult to overturn a disputed payment.
Take a refund that costs the merchant the order value, $X, with nothing else lost. Contesting costs $15 if the merchant wins, and $X plus $30 if it loses. Setting the expected cost of contesting, $15p + (1-p)(X+30), equal to the refund, $X, gives X = 15 + 30(1-p)/p for a win probability p.
On that calculation:
- at the five-dot band of 60%, contesting is cheaper only above about $35;
- at the three-dot band of 25%, the break-even is about $105;
- at the one-dot band of 5%, it is about $585.
The arithmetic is ours and ignores staff time.
A $45 jacket with a torn seam, which would cost the customer $9 to post back, sits below the break-even at every band except the best, five-dot one. At the 25% band or lower, contesting a $90 order costs more than refunding it, while a merchant selling $400 jackets only finds contesting a poor bet at the lowest band.
When should you refund instead of waiting?
Refund early, because the cheap exit closes the day the bank files. Stripe says a merchant cannot refund outside the dispute process while a dispute is open.
Stripe's analysis of early fraud warnings on Visa and Mastercard charges points the same way. It puts the best point to refund a flagged charge at roughly the dispute fee or below, and finds a refund likely not worthwhile above 35% more than the fee. About 40% of warnings become disputes if not refunded, so a $12 flagged charge is an easy refund and a $200 one is not. These figures concern fraud warnings, but the fee logic carries over.
Slow refunds create their own disputes. Visa reason code 13.6 covers "credit not processed": the issuer waits 15 days from the date on the credit receipt and may dispute for up to 120 days from that date. A merchant who promises a refund and lets it slip past two weeks has built the claim for the customer, so refund promptly and put the date in writing.
How do you stop a returnless refund being abused?
Set limits in writing. A merchant can reasonably cap returnless refunds at a dollar amount, say $75, require a photo of the damage, and allow one per customer per year.
Log every refund with its date. A customer who accepts a returnless refund and then disputes the charge anyway has handed the merchant evidence, and Stripe tells merchants to respond to a dispute on a refunded payment by showing the refund's amount and date. The wider choice is covered in whether to refund or fight a chargeback.
Takeaway: what to do this week
- Run the numbers on your own disputes. Pull a year of disputes, sort them by order value, and compare the fees paid with the amounts recovered.
- Set a returnless refund cap. A dollar limit, a damage photo and once per customer per year keep the policy from inviting abuse.
- Refund before the bank files. Once a dispute is open on Stripe, the refund option outside the dispute process is gone.
- Date every refund confirmation. The refund amount and date are what Stripe tells you to show if the customer disputes anyway.
